InHouseIT takes your privacy seriously; it is literally part of our profession. This statement explains which personal data we process when you visit this website or contact us, and what rights you have.

Who is responsible?

What data do we process, and why?

When you contact us by email, phone or WhatsApp, we process the data you provide: your name, email address or phone number, your organisation and the content of your message. We use these only to answer your question and to start any possible collaboration (legal basis: pre-contractual measures and legitimate interest).

When you become a client, we also process the data needed to carry out the work and for invoicing (legal basis: performance of the contract and legal obligations, such as accounting law).

When you visit this website , our hosting provider records standard technical server data (such as IP address, time and requested page) in log files, to keep the website secure and available (legal basis: legitimate interest). We do not use these logs to identify visitors.

Fonts: this website loads fonts via Google Fonts. In doing so, your IP address is passed to Google. More information is in the Google privacy policy.

WhatsApp: if you contact us via WhatsApp, Meta (WhatsApp) also processes your data according to its own privacy policy. Please avoid using this channel for sensitive information; email is always available.

The IT health check

On our website you can fill in an IT health check with no obligation. When you complete the check, we store anonymously a random, non-identifying token (no IP address), your scores per domain and the timestamp. We use this only to measure usage of the check (legal basis: legitimate interest). This data cannot be traced back to you.

If you request the full report at the end, we additionally process the email address and (optionally) the company name you enter, together with your scores, to send you the report by email (legal basis: your consent). Only if you tick the separate box do we also use your email address to contact you once about the results. You can withdraw that consent at any time by replying to our email or writing to contact@inhouseit.be.

No cookies, no banner. On purpose.

You may have noticed: no cookie banner appeared on this website. That is not an oversight, but a choice. A cookie banner is legally required only when a website places non-essential cookies, such as tracking or advertising cookies. We do not place those. No trackers, no ad networks, nothing that follows you around the internet.

So there is nothing we need to ask you: there is nothing to allow or refuse. You simply read the site, without a pop-up and without anything being collected about your behaviour. For the IT health check, a single technical token is stored locally in your browser to avoid double counting; it contains no personal data and is not shared.

To us this is only natural. If we help you with your own privacy and GDPR obligations, we start with ourselves.

How long do we keep your data?

We keep contact data for as long as needed to follow up on your question. Client and invoicing data we keep for as long as legal retention periods require (for accounting records, usually 7 years). Anonymous data from the IT health check is kept for statistics and automatically deleted after at most two years. Email addresses from the check are kept until your request is handled, and deleted on simple request.

Who do we share your data with?

We never sell your data. It is only shared with service providers that make it technically necessary, each time limited to what is needed. For this website and the IT check these are: Cloudflare (hosting, infrastructure and storage of the check) and Resend (sending the report email). For invoicing data, our accountant.

How do we protect your data?

We apply appropriate technical and organisational measures to protect your data against loss and unauthorised access; security is, after all, our daily work.

Your rights

You have the right to access, rectify, erase and port your personal data, and the right to object to or restrict processing. To exercise these, email contact@inhouseit.be; you will receive a reply within one month.

If you are not satisfied with how we handle your data, you can lodge a complaint with the Belgian Data Protection Authority.

Changes

We may update this statement when our operations or the law require it. The date at the top tells you when that last happened.
